Terms of service

Draft for review: this page has not yet been approved.
1. Who these terms are between
These terms are between the company that runs Aimee One (“we”, “us”) and the business that creates an Aimee One account (“you”). Aimee One is for businesses; by creating an account you confirm you are acting for a business and may agree to these terms for it.
2. The service
Aimee One is online software for managing enquiries, estimates, jobs, schedules, costs, progress claims, invoices and related records. We may improve and change it over time; we will not remove a core part of it that you rely on without telling you first.
3. Accounts and logins
Each login is for one named person. You are responsible for who you give a login to, for the roles you give them, and for keeping sign-in details safe. Owners and administrators must use two-factor authentication.
4. Free trial
A new account has a 14-day free trial, with no card needed. If you do not choose a plan by the end of the trial, your account becomes read-only: you can still sign in, look at and export your records, but not add or change them until you choose a plan.
5. Plans, payment and credits
- Plans are charged monthly or yearly in advance, by card through Stripe. Prices are as shown on our pricing page. We are not registered for VAT, so no VAT is added to them.
- Moving to a larger plan takes effect straight away and is charged pro rata. Moving to a smaller plan needs your active logins to fit it.
- Each plan includes a monthly allowance of AI and text credits, which resets each calendar month and does not carry over. Credit packs you buy last 12 months and are used after the month’s allowance. Credits have no cash value and are not refunded.
- If a payment fails we will tell you and try again. If it is still unpaid after a grace period, your account becomes read-only until it is paid.
- We may change prices by giving you at least 30 days’ notice before your next renewal.
6. Cancelling
You can cancel at any time from Settings → Subscription. Your plan continues to the end of the period you have paid for, and is not refunded for the remainder. After that your account is read-only, and you can still export everything. We do not delete your records when a subscription ends; ask us if you want them deleted.
7. Your data
The records you put into Aimee One are yours. You can export your whole company’s data at any time from Settings → Data & privacy. You are responsible for having the right to put personal information into Aimee One and for how you use it.
How we process personal information for you
For the personal information in your records, you are the controller and we are your processor. We will: process it only to provide Aimee One and on your documented instructions (these terms and your use of the service); make sure our staff are bound to keep it confidential; keep it secure; use only the service providers named in our privacy notice, under terms that protect it as these do, and tell you before we add or replace one so you can object; help you answer requests from people about their information and meet your security and breach-reporting duties; tell you without undue delay if we become aware of a breach affecting your data; delete or return it when you ask at the end of the service, unless the law requires us to keep it; and give you the information you reasonably need to show these duties are met.
8. Fair use
Do not use Aimee One to break the law, to send unlawful or unsolicited messages, to store material you have no right to, or to try to reach another company’s data, test our security without permission, or overload the service. We may suspend an account that does, and will tell you why.
9. AI features
AI features suggest; they do not decide. Check every suggestion before you use it. Nothing an AI feature produces is professional advice, and you remain responsible for your estimates, prices, documents and messages.
10. Tax, contracts and compliance
Aimee One helps you record VAT, CIS deductions, the domestic reverse charge, retention and payment applications. You remain responsible for your own tax affairs, contracts and payment notices; check your settings with your accountant or adviser.
11. Other services you connect
When you connect Xero, QuickBooks, Sage, Stripe, a calendar or another service, your use of it is governed by that provider’s own terms. We are not responsible for a connected service being unavailable or changing how it works.
12. Availability and support
We aim to keep Aimee One available at all times and back it up every day, but we do not promise it will be uninterrupted or free of errors. We will fix problems that are ours to fix within a reasonable time. Support is through our contact page.
13. Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited. Otherwise, we are not liable for loss of profit, revenue, business or goodwill, or for any indirect or consequential loss, and our total liability in any 12 months is limited to the fees you paid us in those 12 months.
14. Ending these terms
Either of us may end these terms if the other seriously breaks them and does not put it right within 14 days of being told. You can also end them at any time by cancelling.
15. Changes to these terms
We may update these terms. We will tell you at least 30 days before a change that affects you takes effect; if you do not agree, you can cancel before it does.
16. Law
These terms are governed by the law of the part of the United Kingdom in which we are registered, and its courts deal with any dispute about them.
