FAQ

Questions we get asked

If yours isn’t here, ask us and we’ll get back to you.

Getting started

How does the free trial work?

You get 14 days on the Business plan with every feature, plus 600 AI credits and 20 text credits to try. No card is needed to start. Use it with your real customers and jobs, then choose a plan before the trial ends.

Do I need to install anything?

No. Aimee One runs in the web browser on a computer, tablet or phone. On a phone you can add it to the home screen and open it like any other app.

Can I bring my customers and prices with me?

Yes. Import your customers, properties, suppliers and subcontractors from a spreadsheet, and your rates into the price library. Each import shows you what it found before anything is saved.

How do we get set up?

Your dashboard lists six first steps: your company details and logo, your prices, your first customer, your first estimate, inviting the team and, if you want, connecting your accounts package. Each one ticks itself off as you do it.

Plans and billing

What counts as a login?

Anyone who signs in. Staff you only schedule, cost or pay can be kept as records without a login, as many as you like, at no charge.

Do your prices include VAT?

We’re not registered for VAT, so no VAT is added: the price shown, for plans and credit packs alike, is the price you pay.

Can I change or cancel my plan?

Yes, from Settings → Subscription. Moving up takes effect straight away; moving down needs your team to fit the smaller plan’s logins. If you cancel, your plan runs to the end of the period you’ve paid for. After that you can still sign in, look things up and export everything — you just can’t add or change anything until you choose a plan again. Nothing is deleted.

What happens if we run out of AI or text credits?

The account owner is told when a balance drops below a fifth of the month’s allowance, and again when it runs out. With no AI credits, a new question won’t start until you top up; one already running finishes. With no text credits, automatic messages go by email where the contact has an address, and the job shows it wasn’t sent as a text.

Do unused credits roll over?

Your plan’s monthly allowance resets on the 1st and doesn’t roll over. Credits from a pack you’ve bought last 12 months and are used after the monthly allowance, the soonest to expire first.

Using Aimee One

Is it for a sole trader or a bigger firm?

Both. It’s built for firms of about 1 to 50 people: simple enough for one person running the business from a van, with the claims, costing and approvals a growing contractor with an office needs.

Can my team use it on site?

Yes. Your team sees their day, their job sheets and their tasks on their phone, adds photos and books their time. Each role only sees what it needs, so prices and margins can stay in the office.

How do subcontractors fit in?

Subcontractors are kept as records, with their insurance and cards. You assign them work, schedule them and put what they charge against the job, without paying for a login for each one.

Does it handle CIS and the domestic reverse charge?

Yes. Invoices carry CIS deductions and can be set up for the domestic reverse charge, alongside retention and several VAT rates. Check the settings with your accountant when you start.

Which accounts software does it work with?

Xero, QuickBooks and Sage. Connect one, and invoices, credit notes, supplier bills and payments go across once each, never twice, with the job carried with them.

Can customers pay online?

Yes. Connect your Stripe account and customers can pay an invoice by card online, from the invoice or their portal. Your bank details are on every invoice for bank transfer too.

We do insurance work. Does it fit?

Yes, it was designed with insurance reinstatement in mind. Jobs carry the insurer, policy and claim numbers, the peril and the loss adjuster, and photos and certificates gather into an evidence pack. More on insurance work

Data, security and AI

Where is my data kept?

In London. Your records, files and backups are held in UK data centres.

Who can see my company’s information?

Only your own people, and each of them only as far as their role allows. Every record belongs to one company and is never shown to another. Owners and administrators confirm each sign-in with a second code.

What does the AI do with our information?

AI is off until your company switches it on. When it is on, it only sees what the person asking is allowed to see, nothing it suggests is used until a person approves it, and every AI action is logged. Requests go to Anthropic, the company that makes Claude, and are not used to train AI models.

Can I get my data out?

Yes. Settings → Data & privacy builds a download of your whole company: every record as data files, plus every document and photo you’ve stored. You can also export one person’s data for a subject access request. Export still works after a subscription ends.
